Job Description

CareerFinders, on behalf of our client, a very well-established and highly respected provider of Corporate & Fiduciary Services with offices in Limassol, we are seeking to recruit a Secretary to join their team.

Key Duties/Responsibilities:
 

  • Meeting and greeting clients and visitors to the office.
  • Handling incoming and outgoing communication (phone calls, faxes, e-mails, mail).
  • Sorting and distributing incoming and outgoing correspondence and post and arranging couriers.
  • Assisting with travel arrangements including booking of flights, hotels and issuance of visas.
  • Maintaining and updating records and databases.
  • Maintain filing systems, ensuring records are kept in an organized and readily accessible manner.
  • Preparation of the materials for the Board meetings and Board minutes.
  • Performing general clerical duties including but not limited to: photocopying, faxing, mailing, and filing.
  • Having the overall responsibility for general office management such as coordinating work for maintenance issues, archiving, ordering stationery and other office supplies.
  • Effecting regular payments of office expenses (online or by corporate cards).
  • Detailed record keeping of office expenses, assistance to accounting team in preparation of accounts and budgets.
  • Perform out of the office duties from time to time such as visiting local authorities, visiting other properties owned by the company, etc.
  • Performing numerous ad-hoc duties commensurate with the position.

 
Key Skills/Experience:
 

  • Diploma in Office Administration or Secretarial Studies. University degree in any discipline would be considered an advantage.
  • Minimum 5 years of relevant working experience in a similar role. Experience in an international environment is a must.
  • Excellent organisation, planning and time management skills.
  • Fluent in English and Greek. Knowledge of Russian will be considered an advantage.
  • Computer literate (MS Office).
